A Volunteer HOA Board Shouldn’t Need a Software Department

The treasurer has possession of accounting software. The president is able to access several folders of the governing documents in cloud storage. Residents email messages are scattered across individual inboxes. Someone’s phone has photos of the violations. Board members also have the username and password for the website for the community.

Everything technically exists.

The process of finding it is a different one.

The administrative burden of a homeowners’ association managed by itself can increase in time. It is possible to implement a small solution at a given time. A spreadsheet can solve one problem. Group chats solve another. Then the board adds online payments and shared storage accounting software, a website and yet another method for communicating with residents.

Volunteers will end up spending as long managing tools in the same way as they manage their communities.

The problem isn’t with self-management.

Self-management permits an association to control its activities. It’s difficult to run an association if the board members are volunteers, not administrative staff.

They must still collect assessments, maintain information about owners, record expenditures, talk to residents and document violations. They organize the files, make documents and maintain the records.

Good HOA management software should reduce that administrative load without taking control away from the association.

Perfect HOA approaches this by the integration of unit records, finances, payments, communications, documents, violations and the resident portal and meeting records together in one cloud-based system.

What happens when the owner moves?

Instead of changing an address in a spreadsheet, or updating another list, looking up a separate payment system, and manually altering access to websites central records could make the owner’s information useful across the association’s administrative functions.

The Treasurer shouldn’t have to reconstruct the Financial Picture

HOA finances may cause an issue similar to that when the data is dispersed.

Every bank transaction takes place at one place. Assessment payments arrive somewhere else. The budget might be a different spreadsheet. When asked about how spending compares with the annual budget, the treasurer will have to put together the information.

HOA accounting software is much more valuable when the bookkeeping functions are linked to the daily routine.

Perfect HOA syncs bank and card transactions using Plaid. It can also categorize transactions and generate reports on the results, including Profit & loss budget vs. actual and Cash flow. Reserves, funds for operating and special assessments may be monitored independently.

This is important because HOA accounting isn’t simply about producing a year-end total. Boards might wish to know how much is left in reserve funds or if they are on budget for landscaping.

The less dependent the community is of a spreadsheet that is private and the less dependent it is on spreadsheets, the easier it will be to find the answers.

Residents shouldn’t have to ask Where Everything is

Centralization can enhance the quality of life for residents.

Be aware of the questions that an HOA is regularly asked. Where are the documentation that I need for my neighborhood? Have I received my money? Where can I find the latest notice? Where can I find out more information about the Association?

A reliable HOA website builder will develop more than just a public-facing homepage. Perfect HOA integrates the community website with a portal for residents to ensure that owner information and documents connected to the management system.

It is no longer necessary to maintain two sets of data for the website and another for a board.

This also means that residents have a logical place to look prior to contacting any board member who is a volunteer for something already available.

When things go wrong, it’s important to have good track records.

The true test of a HOA’s administration system is usually months later.

A resident is displeased with a violation. A person asks if a notification was issued. A new board wants to know the details of an old decision. An auditor needs financial information. Treasurers resign unexpectedly.

Memory isn’t enough anymore.

Perfect HOA can maintain communication histories, delivery information, documents, and timelines for violation. The violation can be recorded by photograph, notices and escalation histories as well as penalties. This is more efficient than the process of reconstructing data from emails.

Board meetings can also produce documents that need to be preserved. AI-generated meeting minutes eliminate the need to turn the lengthy meeting into an official document.

Self-managing an HOA will always require people to make choices. Software cannot take the place of that decision-making.

It’s going to eliminate the detective work surrounding it.

If financial records, resident information, documents, communication, payment violations, documents, and community access live together Board members spend less time asking “Who is this?” and more time dealing with the issue which requires their expertise.

It may be the most crucial aspect of automation for an organization of volunteers.
